Specific Requirements for the ADGA Spotlight Sale

The Spotlight Sale, which is the last event of Convention week, is a highlight of the week and certainly the time to promote goats and ADGA. It is held on Saturday, immediately after the Champagne Brunch. In general, the Convention Host Committee arranges for the physical aspects of the Sale (room, set-up, transporting animals, food and beverages) and the Spotlight Sale Committee arranges for the personnel who work the Sale (auctioneer, floor people, handlers).

 

 The Convention Host Committee also provides transportation for the Spotlight Sale animals between the airport and the host facility both before and after the Convention.

           

 The Convention Host Committee must contract the services of a local veterinarian to provide an initial health check before animals are permitted in their pens and to provide additional veterinary services that may be required. ADGA pays the costs of initial and routine health checks, while animal owners pay for any veterinary services associated with illness or injury.

 

 The Convention Host Committee must also contract the services of a local veterinarian to provide health papers on the day of the Spotlight Sale. This veterinarian must be able to write Interstate and Federal health papers.

 

 Finally, special permits or variances may be required to house goats on site at the host facility and to hold the Sale itself. A copy of any permit requirements must be included with the “Proposal to Host an ADGA Annual Meeting and Convention,” and as soon as a "Proposal to Host" is approved by the Board, the Convention Host Committee (probably the local Co-Chair) should obtain these permits.

 

 A successful Sale requires continual contact between the Convention Host Committee and the Chair of the ADGA Spotlight Sale Committee beginning before a “Proposal to Host an ADGA Convention” is presented to the ADGA Board until after the Sale itself.

           

 Room and Audiovisual Requirements

 The Spotlight Sale is held in the same room as the Champagne Brunch. The room should hold between 400 people, so usually the host facility ballroom is the best choice.

           

 The ballroom should have a stage with a runway at one end.

           

 The room should have decorations (those from the Banquet the night before are fine) to add to the festive atmosphere, and Premium Sponsors of the Convention may be invited to display their banners in this room.

           

 A holding area should be located behind the stage, so animals can be prepped and held. Flooring, stairs, and walkways should be covered with protective plastic to prevent slipping and excessive cleanup.

           

 Also, if the site of the Spotlight Sale is close to the area where animals are housed transporting them between the Sale site and housing will be easier.

           

 Spectators sit at round tables set up banquet style from the previous Brunch.

 

 A cash bar should be set up at the back of the room.

           

 A standing podium and microphone for the auctioneer should be provided at the front of the room.

           

 For the announcers, one skirted, covered 8’ table with 3 chairs, 2 portable microphones and 2 phone lines with phones should be placed next to the auctioneer’s podium. One skirted, covered 8’ table with 3 chairs for the clerks should be placed off to one side.

           

 Two spotlights (with operators) are needed to spotlight animals during the Sale.

           

 Food and Beverage Requirements

 Champagne should be served through the entire Sale. A cash bar should be set up at the rear of the room and some kind of hors d’oeuvres or appropriate snacks may be served as the Sale progresses.
